Conditions of Entry
The following contains the General Conditions for Competitors for the 2007 Southland Competitions. Please ensure you read these before submitting an entry.
Any competitor entering in an incorrect class will be disqualified.
Please check your appropriate class number.
Status
These competitions are open only to amateurs. An amateur means "one whose income is not derived mainly from the use of his/her talents in the particular section in which he or she is competing". The Executive reserves the right to determine the status of any competitor.
Age Limits
- "Age limits" means that the birthday of the year must not have been passed on the day the Competitions are fixed to begin, namely 24th August 2007 or 21st September 2007, depending on the arts being entered.
- Except in the Open Classes, competitors will be allowed to compete in their own age group only.
Entry Fees
All entry fees must be paid at the time of entry or, if entering via the internet, received within three working days of entry. No entry will be recorded unless the necessary fees have been paid. The Executive reserves the right to refuse any entry.
Novice (Except Ballet Classes)
A novice class is open only to competitors who have not been placed first at these or any other similar Competitions prior to the commencement of this Festival.
Piano Items
Competitors in the Pianoforte Classes will be allowed a page turner.
Selected Items
- Titles of Demi Character and Barefoot Dances, Character Recitals in Speech, and Songs in Character in Vocal sections must be adhered to, as stated on the entry form or advised to the Secretary no later than the 24th August, 2007. For Senior Vocal it would be appreciated if all titles for Own Selection items could be listed.
- A printed or typewritten text and/or music of each class is to be handed to the steward on duty at the respective venues, before the commencement of the particular class, and shall bear at the head of the front page the competitor's name and number, plus the class number. These should be provided on a session-by-session basis, not in bulk. Manuscript copies will be accepted where printed copies are not available. Copies may be collected from the steward after the conclusion of the class.
- Competitors must not approach the Adjudicator's table to leave or collect copies.
- Time Limits: For the Junior and Senior Pianoforte Championship and Open Instrumental Classes, the Time Limit must not exceed eight (8) minutes. See each Art for its specific Time Limits. Otherwise, where there is no Time Limit specification, the Time Limit for each selection is five (5) minutes. Any competitor exceeding the Time Limit may be disqualified.
- Any Convenor or Adjudicator is authorised to debar or to stop any performance of a sacrilegious or objectionable nature.
- No competitor in the Speech or Instrumental Sections shall present an item with which he or she has already won a First award at any Festival conducted by this Society. The only exception to this rule is for entrants in the National Award Nomination Classes.
- Any competitor in the Vocal Section, who has won at a previous Festival conducted by this Society, may only use the same item again after a lapse of five (5) years. The only exception to this rule is for entrants in the National Award Nomination Classes.
- No item performed in one class may be repeated in another by the same person.
Rehearsals
- Instrumental competitors may make arrangements with the Convenor to have a rehearsal at the venue.
- Dance groups must arrange their stage practice time by applying to the Theatre Manager.

Competitors wishing to use an accompanist must make their own rehearsal arrangements at least four weeks prior to their competitions date.
No competitor should expect an accompanist to sight-read an item.
Use of Recorded Music
Pre-recorded CD's or cassette tapes of good sound and quality must be used in the Ballet and Tap Dancing sections, and are to be played through the sound system provided.
- Competitors must supply CD's or cassette tapes.
- CD's or cassettes are to be removed from back stage immediately following the competitor's performance.
- The Society will not be responsible for any loss or damage to CD's or cassettes.
- There will be a tape/CD fee of $2.00 payable with entry.
- Instrumental and Vocal: Recorded backing music will not be allowed. Backing music may only be provided by an accompanist.
Videoing
Anyone wishing to video must request permission at the office of the venue. Strict conditions apply.
Order of Performance
- Competitors' names will appear on the programme in the order in which they will be called upon to perform.
- All competitors must report back-stage at least fifteen (15) minutes prior to the commencement of their class.
Stage and Dressing Rooms
Parents of competitors will be admitted to the Dressing Rooms only.
Communication with Adjudicators
Communication with Adjudicators by competitors, teachers, parents or other interested parties, prior to or during the Festival, is absolutely prohibited. The Executive reserves the right to disqualify a competitor for any breach of this Rule.
Prompting
No prompting or assistance of any kind shall be given during the performance except by the Adjudicator.
Report Sheets
Will be available from the venue after the results have been announced.
Own Selection
Copies must be collected during the session immediately following that in which the competitor appeared.
Merging of Classes
The Executive reserves the right to merge classes with only one entry.
Protests
- Any competitor wishing to protest (this may include the right to challenge the amateur status of any other competitor) must do so in writing, setting out the grounds, and lodging the same with the Secretary, together with $5.00 as a sign of good faith.
- Should the Executive, after investigation, deem any protest to be frivolous or unfounded, the deposit may be forfeited.
- No protest will be considered unless lodged as specified within 24 hours after the results have been announced.
- No protest can be made against any decision of an Adjudicator.
Accidents
All competitors compete at their own risk, and the Executive accepts no responsibility for accidents or mishaps, and on these conditions only, are entries received.
Dress Code
Competitors are expected to present a neat and tidy appearance.
Trophy Winners
Trophy Winners are responsible for the engraving of their names on cups. In the case of a shared prize, it is the first recipient’s responsibility to pass on the trophy in time to ensure each winner holds the prize for an equal amount of time.
Cups
- All cups mentioned in the Syllabus are Challenge cups which remain the property of the Society, but are held by the winners and must be returned by the date specified in (4) below.
- Last year's cup winners - please ensure that cups are returned by the due dates.
- Damage to cups is the responsibility of the competitor. Cups are to be returned in a CLEAN AND UNDAMAGED condition. Failure to comply may result in a fine of $5.00 per trophy.
- Cups won at the 2006 Competitions are to be returned to: The White Heron, Cnr Tweed & Pomona Streets, Invercargill by: 27th July 2007 for arts with competitions in August; and 24th August for arts with competitions in September.
Prizes

First, second and third prizes are awarded, with the following exceptions:
- Where there are three (3) or fewer entries in a class, the awarding of any prize is at the discretion of the Adjudicator.
- The Adjudicator may withhold, at his/her discretion, the first or any prize if the standard is not sufficiently high.
- Under 18 years - Medals for 1st, 2nd, 3rd.
- 18 years & over, where there is no Sponsorship money - 1st $20, 2nd $15, 3rd $10.
- SPONSORED CLASSES ATTRACT NO EXTRA MONIES.
- Groups - one prize medal per group, with the exception of duo and trio classes where individual medals will be awarded.
- At the Adjudicator's discretion, Certificates will be issued for Very Highly Commended, Highly Commended and Commended performances.
- All Prize Money will be posted to winners at the end of the Festival.
- Pacanz National Young Performer of the Year Nominees: For four nominees residing in the Community Trust of Southland area, a Community Trust of Southland Scholarship will cover all costs involved in attending the Awards in Tauranga from 12th-14th October 2007. These Scholarships will be awarded at the Society’s discretion and are only available to nominees who actually attend and perform at the Awards. The money will need to be reimbursed to the Society if it has been paid out and the nominee does not attend and perform. At the time of going to print, the Scholarship money has been applied for but not yet confirmed. Please contact the Secretary for further details if your entry in one of the nomination classes is dependent on the availability of the Scholarship.
Programmes
- As timetables will not be published separately, competitors are asked to include the cost of a Programme or Programmes along with their entry fee.
- The Programme(s), which will include the timetable, will be posted in ample time before the competitions.
- There will be two Programmes, each costing $4.00.
